This website, karoacademyhub.com, the messages you send us through it or by email, and the calls you book through our booking calendar.
What We Collect and Why
When You Send Us a Message or Email Us
We collect your name and email address, and your company, phone number and background (for example your current role, experience or LinkedIn link) if you give them. We also collect the topic, area of interest and group size you choose, and your message. We use this to reply, to arrange a call if you want one, and to prepare a recommendation or quote if you want one.
Please do not send us a CV or other documents through the website. If we need more detail to check your eligibility for a certification, we will ask you by email.
When You Book a Call
Our booking calendar runs on Cal.com. When you book, we receive your name, email address, the time you choose and anything you add to the booking. We use this to hold the call and prepare for it. Cal.com sends the confirmation, and any changes, by email.
Legal basis for both: taking steps at your request before a possible contract (GDPR article 6(1)(b)), and our legitimate interest in answering enquiries (article 6(1)(f)).
When You Visit the Site
Our hosting provider processes technical data, such as your IP address and browser type, to deliver the pages and keep the site secure. We do not use this data to identify you.
Legal basis: our legitimate interest in running a secure website (GDPR article 6(1)(f)).
No Cookies, Analytics or Tracking
The site sets no cookies and uses no analytics, advertising or tracking tools. Fonts and all other files are served from this site, so your browser does not contact third parties such as Google when you visit.
Who We Share Data With
We use processors who handle data on our behalf under data processing agreements:
- Netlify, Inc. (USA) hosts the website and receives the messages you send through its form. Netlify is certified under the EU–US Data Privacy Framework and also uses the EU standard contractual clauses for transfers. Netlify uses sub-processors, for example to filter spam.
- Zoho provides our email, hosted in Zoho's EU data centres, to receive and answer your messages.
- Cal.com, Inc. (USA) runs our booking calendar and the video link for booked calls. Cal.com is certified under the EU–US Data Privacy Framework and also uses the EU standard contractual clauses for transfers.
We do not sell your data or share it for marketing.
How Long We Keep It
- Enquiries and bookings that do not lead to a customer relationship: deleted no later than 12 months after our last contact.
- If you become a customer: kept for as long as the relationship lasts. Accounting records are kept for five years, as the Danish Bookkeeping Act (bogføringsloven) requires.
- Hosting logs: kept by Netlify for a short period under its own retention rules.
Your Rights
You can ask to see, correct or delete your data, to restrict or object to how we use it, and to receive it in a portable format. Email hello@karoacademyhub.com and we will reply within one month.
If you think we handle your data wrongly, you can complain to the Danish Data Protection Agency (Datatilsynet), Carl Jacobsens Vej 35, 2500 Valby, www.datatilsynet.dk.
Marketing
We do not send newsletters or marketing emails unless you have asked for them.
Changes
If we change how we handle data, we will update this page and the date at the top.
